Introduction The system supports both pre-arranged visits and walk-in visitor applications. Internal employees can invite visitors by email, while visitors can also submit applications through a public link or QR Code. After approval, the visitor receives a time-limited QR Code that can be used at authorized access points. This reduces front-desk congestion, improves visitor access control, and enables temporary access to be managed with clear approval, validity time, and access area restrictions.

  • Administrators can define which doors, turnstiles, elevators, public areas, or meeting rooms can be used for visitor access.
  • Invalid or Expired Application Handling
  • Applications that are not approved within the defined time can be automatically invalidated.
  • Fallback Routing for Unknown Host Email
  • If a visitor enters an incorrect or unmatched employee email, the request can be routed to a default receptionist or administrator for further handling.

Functions
1. Pre-Arranged Visitor Access
For scheduled meetings, the host employee sends a visitor registration link. The visitor fills in basic information and planned arrival time. After review, the employee approves the request and the system sends a time-limited QR Code to the visitor. Best for: planned customer meetings, vendor visits, interviews, partner visits.

2. Walk-In Visitor Application
For visitors who arrive without a pre-arranged invitation, a public QR Code can be placed at the lobby. The visitor scans the code, selects the company, enters the host employee email, and submits the request. If the host email matches the employee database, the request goes directly to the host for approval. If not, it can be routed to a receptionist or administrator. Best for: shared office buildings, lobby reception, unexpected visitors, multi-tenant buildings.

3. Temporary QR Code Access Control
Once approved, the QR Code becomes valid only during the approved visit window. The system automatically writes the QR Code credential into the authorized access devices before the visit and removes it after the valid time ends. Best for: secure office access, temporary meeting room access, elevator access control, lobby turnstiles.

Solution Introduction

The Visitor Management is done by ACTi's Access Control Standard Server (ACSS), which is available as software or standalone version.
